The Canadian Mental Health Association, Peel Dufferin Branch (CMHA Peel Dufferin) is recruiting for a Program Assistant to perform administrative duties and support the MH&JS Program as required.                                          

This is a 14 month contract position to cover a maternity leave; (Monday to Friday, 37.5 hours per week). The position is based in Brampton and reports to the Program Manager, Justice Services.



  1. Acts as a liaison between the Program Manager and staff to ensure appropriate coordination and follow-up on day-to-day issues.

  2. Manages confidential information in their capacity as Program Assistant to Management.

  3. Supports Manager with correspondence; drafts letters and documents as needed, including financial and HR administration processes as required.

  4. Prepares Purchase Orders, Quote sheets and reconciles with invoices, ensuring appropriate follow up with Finance and Accounts Payables departments.

  5. Follows up on monthly expense procedures for Program staff, as per Agency Policy. 

  6. Supports team with reports from Client database; updates and maintains information in Database as directed.

  7. Manages and maintains the Program staff and Manager’s Schedules via the Scheduler system and MS-Outlook Calendar.

  8. Creates, revises, and improves systems and procedures by reviewing operating practices, record keeping systems and forms; Implements changes as approved by Manager.

  9. Supports new hires with Program orientation as directed by Manager.

  10. Creates and maintains systems to keep Manager on track with key dates (PDPs, hire date anniversaries, supervision meetings for their direct reports). 

  11. Meeting preparation and logistics; space, equipment, agendas, minutes and action items

  12. Co-ordinate and organize events such as trainings and team days, including catering and logistics.

  13. Serve as backup reception coverage, including partner hospitality as needed.

  14. Other related duties.


Skills & Qualifications:

  1. Post-secondary diploma in Business/Office Administration is required.

  2. At least 2-3 years of office administration experience with supporting medium and/or large teams.  

  3. Excellent communication and organizational skills, able to manage competing priorities and deadlines in a fast paced environment.

  4. Enthusiastic problem solver and dedicated team player, who demonstrates initiative and independence.

  5. Strong computer skills – Outlook, Microsoft Office Suite, Scheduling systems, Client Record Management Systems.

  6. Experience working in the non-profit sector is an asset.

  7. Ability to speak French or a second language is an asset.

  8. A valid driver’s license, access to a reliable vehicle and relevant insurance.

  9. Satisfactory Criminal Police check
